For a private buyer, a bad phone is an expensive mistake once. For a phone shop, repair center or reseller, it’s a recurring cost that quietly eats margin: a trade-in that turns out to be iCloud-locked, a batch of US imports that are still carrier-locked, a phone that gets blacklisted a month after you sold it and comes back with an angry customer. Worse, buying stolen goods — even unknowingly — can bring the police to your counter.

The fix is not more experience or a better “feel” for sellers. It’s a consistent intake workflow that every staff member follows on every device, with the results written down. This guide gives you that workflow, explains which checks to run for each type of device, and shows how to keep it fast enough for a busy counter.

Four steps, under a minute: the safest way to buy a used phone.

Why every device needs the same process

Most losses happen on the “easy” deals: a regular customer, a phone that looks perfect, a rush hour when nobody has time. A fixed process removes judgment from the parts that don’t need it. It also gives you a defensible record: if a phone later turns out to be stolen, you can show exactly what you checked, when, and what the results were. That record matters to your local police, to marketplaces you sell on, and to your own customers.

Think of the workflow in four stages: identify, verify, inspect, record. Nothing gets paid for until all four are done.

Stage 1: Identify the device

  1. Read the IMEI from the phone, not from the box. Dial *#06#. On dual-SIM phones you’ll see two IMEIs; record both.
  2. Compare with Settings. iPhone: Settings › General › About. Android: Settings › About phone. For iPhones with a SIM tray, compare with the number engraved on the tray too.
  3. Validate the number. A typing mistake wastes a paid check and a customer’s time. The validator below checks the IMEI’s Luhn check digit instantly in the browser.
  4. Record the serial number as well — it’s what Apple and many manufacturers use for warranty and service records, and it’s the only identifier on Wi-Fi-only tablets and Macs.

Stage 2: Verify with the right checks for the device

Don’t run every check on every phone — that costs money and time. Build a short “check menu” per device type and stick to it.

DeviceAlways runAdd when relevant
iPhone / iPad (cellular)All-in-one basic info (model, Find My), GSMA blacklistCarrier + SIM-lock for US/imported units; MDM for ex-business devices

Google PixelPixel info, GSMA blacklistCarrier check for US units

In practice, for the most common devices that means:

For the full list of Apple and Android checks, the IMEI check page is a good reference for staff.

Stage 3: Inspect, then reset in front of the seller

The records tell you about locks and theft reports. The hands-on inspection tells you about condition. Make it a checklist, not a vibe:

  • Accounts removed: no Apple ID, Google, Samsung or Mi account left in Settings.
  • Battery health and, on iPhones, Parts and Service History noted.
  • Screen, cameras, speakers, microphones, buttons, charging and biometrics tested.
  • Water damage indicators and charging port inspected — see our water damage check guide.
  • Factory reset done while the seller is present, and the setup screen reached without any lock prompt.

Stage 4: Keep records that protect you

Good records are your evidence of good faith. For every device you take in, keep:

  • Date, time and the staff member who handled the intake.
  • Both IMEIs, the serial number, model and storage.
  • The seller’s name, phone number and a copy or reference of their ID, following your local data-protection rules.
  • The check results: save the report or a screenshot with the date, plus the order reference from your iSerial account.
  • Purchase price, payment method and transaction reference.
  • A signed or acknowledged statement from the seller that they own the device and that it is free of finance and locks.

Many shops also hold traded-in devices for a few days before resale, so that a fresh theft report has time to surface. Re-run the blacklist check just before you sell — it costs cents and protects your customer.

Your iSerial account helps here too: every check you run is saved in your order history with its result, so you can look up a device months later. Our guide to how stolen phones are reported and blocked explains why a phone can be clean on Monday and blacklisted on Friday.

Keeping it fast: wallet, WhatsApp and Telegram

A workflow that slows the counter down will be skipped. A few habits keep checks to seconds:

Top up the wallet once

Instead of paying for each check separately, add funds to your iSerial wallet and pay every check from the balance. Staff can run checks without handling card payments, you get one clear spending history, and your account moves up the loyalty tiers (Bronze, Silver, Gold, Platinum) as you use it.

Check from WhatsApp

Link your account to the iSerial WhatsApp bot and send an IMEI as a message. The bot shows the most popular checks first, confirms the price, pays from your wallet and replies with a report card image you can forward to a customer or save to the intake record. Start it at iserial.us/whatsapp.

Check from Telegram

Prefer Telegram? The iSerial Telegram bot (@iSerial_usbot) does the same: send a bare IMEI, pick a check, confirm and pay from the wallet, and get the verdict with a link to the full report. It’s handy for shops where one staff member handles purchases from a phone rather than a counter PC.

Both bots use the same wallet and order history as the website, so every check lands in one record.

Train staff on what results mean

A check is only useful if the person reading it knows what to do next. Write a one-page rule sheet and pin it at the counter:

  • Find My ON / Activation Lock: seller must sign out on the spot, or no deal.
  • Blacklisted / barred: no deal. Don’t argue, don’t accuse — politely decline.
  • Carrier-locked: buy only at a locked-phone price, and only if it’s paid off.
  • MDM on: no deal unless the organization releases it.
  • Model or storage mismatch: stop and inspect for swapped parts.

Run your first intake with the workflow today — enter the IMEI below:

Frequently asked questions

Which IMEI checks should a phone shop run on every device?

At minimum, a model and Find My (or manufacturer info) check plus a GSMA blacklist check. Add carrier, US barred and MDM checks for imported or ex-business devices.

How long should a shop keep intake records?

Follow your local laws on second-hand goods and data protection. Many shops keep IMEI, seller details and check results for at least as long as a theft claim could reasonably arise.

Can I run IMEI checks from WhatsApp or Telegram?

Yes. Link your iSerial account to the WhatsApp bot or the Telegram bot @iSerial_usbot, send an IMEI, choose a check and pay from your wallet.

Why re-check a phone before reselling it?

A theft or unpaid-balance report can be filed days or weeks after a phone changes hands. Re-running the blacklist check before resale protects your customer and your reputation.

Should a shop buy a locked phone to unlock later?

Only if it is carrier-locked, paid off and clean, and priced as a locked phone. Never buy phones that are iCloud, FRP or MDM locked or blacklisted on a promise of removal.
